When you plan a gathering, request information, or register for an event, you may provide your name, email address, phone number, organization, event preferences, attendance details, eligibility information, and any message you add. Please do not place sensitive personal information in an open comment field.
If you receive a Stripe-hosted payment link, payment and billing details are submitted directly to Stripe. The Sterling Room receives payment status, transaction references, and related records needed to apply and reconcile the payment with your event.
Technical information
Our hosting and security providers may process ordinary request information needed to deliver and protect the site. Dedicated campaign or event redirect links may also record the referring site without its query string, campaign identifiers, approximate location, device and browser information, network information, language, and request-security details. The public website does not set non-essential advertising or analytics cookies.
How we use information
We use information to respond to you, prepare and review gathering proposals, manage inquiries and event availability, maintain event records, deliver requested communications, understand the effectiveness of dedicated campaign links, prevent misuse, and operate the venue and website.
When information is disclosed
Information may be processed by service providers that help us host the website, store inquiries, secure the service, deliver email, and process payments through Stripe. We may also disclose information when required by law, to protect rights or safety, or as part of a business transfer. We do not sell personal information or use it for targeted advertising.

We keep information for as long as reasonably necessary to manage the inquiry or event, maintain business and legal records, resolve disputes, and protect the service. We use administrative and technical safeguards appropriate to the information, but no online system can promise absolute security.

Children
The website and its planning forms are intended for adults arranging events. We do not knowingly request personal information directly from children under 13.
