Every Sterling Room proposal is built around the event itself—its date, attendance, schedule, layout, food and beverage choices, equipment, services, and verified discount eligibility. Share what you are imagining first; the team reviews the complete picture before presenting the quote.
Your gathering first
Begin with the experience you want to create.
The planning process starts with your vision, guest count, timing, and preferred room experience. Six event hours and eight total access hours provide a useful framework for setup, the gathering itself, and cleanup.
From there, the proposal responds to the actual date and plan so every gathering is considered on its own terms.

Food, beverage, and production
Add only what the event needs.
Catering choices include boxed meals, buffet service, plated meals, and premium meals. Outside or client-arranged food is also supported and carries a cleaning fee calculated from attendance.
Room and production add-ons can include tables, linens, chairs, stage, accent lighting, PA system, and DJ service. Cash bar and open bar formats are available, with final staff pricing required when The Sterling Room provides alcohol.
Discounts and payment
The best verified eligible venue discount is applied.
The quote system applies the single best eligible venue discount rather than stacking multiple discounts. Sterling Room partners can qualify for 25%. Cloud Nine building tenants, nonprofits, military clients, Elkhart-based organizations, public K–12 education, and Downtown Merchants Alliance members can qualify for 15%, subject to verification.
The calculated booking deposit is 25% of the estimate, with the remaining estimated balance due seven days before the event. A submitted date begins the quote process; it does not reserve the room until booking is completed.
Every online result is an initial estimate. Custom layouts and Sterling Room-provided alcohol require team review before the quote is final.
